Refund & Cancellation Policy

How cancellations, amendments and eligible refunds are handled by Banyan Holidays.

This Refund & Cancellation Policy applies to travel services arranged by Banyan Holidays. Because airlines, hotels, visa providers, transport operators and other suppliers set their own conditions, the exact cancellation and refund terms for a booking will be those stated in the quotation, invoice, booking confirmation and relevant supplier rules.

1. Cancellation requests

A cancellation request must be sent in writing by the lead traveller using the contact details recorded for the booking. The effective cancellation time is when Banyan Holidays receives and acknowledges the request during reasonable business hours.

2. Cancellation charges

The amount refundable, if any, depends on the travel date, fare type, supplier rules, services already performed and costs already committed. Charges may include:

3. Non-refundable services

Certain bookings may be wholly non-refundable. Examples may include restricted airline tickets, promotional hotel rates, confirmed group allotments, event tickets, visa fees, insurance premiums, customised arrangements and services already used or provided. The booking documents will identify known restrictions where reasonably available.

4. Refund process

Where a refund is approved, Banyan Holidays will request or process it after receiving the necessary funds or credit confirmation from the relevant supplier. Supplier review and banking processes may take time. We will provide reasonable updates, but we cannot guarantee a refund date controlled by a third party.

5. Method and currency

Refunds are normally returned to the original payer or original payment method where practicable. Currency fluctuations and bank or payment-provider deductions may cause the received amount to differ from the original payment.

6. Traveller-requested amendments

Date, name, route, room or service changes are subject to availability. Fare differences, supplier amendment penalties, reissue charges and Banyan Holidays service fees may apply. A change that cannot be accepted by a supplier may be treated as a cancellation and new booking.

7. Supplier cancellation or significant change

If a supplier cancels or significantly changes a confirmed service, available options may include an alternative, credit or refund, depending on supplier policy and applicable law. Banyan Holidays will assist with the available process but is not able to promise a remedy beyond what the supplier or law provides.

8. Visa refusal or immigration decision

Visa fees, service charges and costs already incurred are generally non-refundable after submission or processing begins. Rejection of a visa, denial of boarding or refusal of entry does not automatically cancel other travel services or create a right to refund; the cancellation terms of each booked service will apply.

9. Force majeure and events beyond control

For events such as severe weather, natural disasters, government restrictions, strikes, epidemics, conflict or other circumstances beyond reasonable control, refunds, credits and alternatives will depend on supplier rules and applicable law. Additional expenses may be the traveller’s responsibility and may be claimable under travel insurance.

10. Duplicate or incorrect payment

Please report a suspected duplicate or incorrect payment promptly with proof of payment. After verification, any amount clearly received in error will be corrected or returned, less unavoidable payment-provider charges where legally permitted.

Important: The specific cancellation schedule and charges shown in your quotation, invoice or booking confirmation prevail over this general policy for that booking.
